Adding Webinar to Your Calendar

When you register for one of our webinars, you'll receive a confirmation email with an Add to Calendar link or button. This link downloads a small calendar file (called an .ics file) that you can add to your calendar so you don't miss the event.
⚠️ Important: We are unable to include calendar files as email attachments. The Add to Calendar link will download the .ics file instead.
This guide walks you through how to add the webinar to your calendar on the most common email and calendar platforms.

What is an ICS file?

An ICS file is a standard calendar file used by Outlook, Google Calendar, Apple Calendar, and most other calendar apps. It contains the webinar’s date, time, title, and join link.
✅ The ICS file adds one event to your calendar. It does not subscribe you to a calendar or send reminders beyond what your calendar normally provides.

Outlook (New Outlook, Outlook on the web, Outlook desktop (classic))

Option A: Add from the downloaded file (recommended)

  1. In your webinar confirmation email, click Add to Outlook Calendar.
  2. Download the .ics file when prompted.
  3. Open Outlook and switch to Calendar.
  4. Select Add calendar.
  5. Choose Upload from file.
  6. Browse to the downloaded .ics file and select Import.
  7. Choose your primary calendar if prompted.
The webinar will now appear on your Outlook calendar.

Option B: Add directly after downloading the file

If your email client does not automatically prompt you to add the event:
  1. Download the .ics file from the confirmation email.
  2. Open Outlook.
  3. Go to Calendar → Add calendar → Upload from file.
  4. Select the downloaded .ics file and import it.

Gmail / Google Calendar

  1. Click Add to Google Calendar in the confirmation email or download the .ics file.
  2. If the file downloads:
    • Open Google Calendar (calendar.google.com).
    • Click the Settings icon ⚙️.
    • Select Import & export.
    • Upload the .ics file and choose your calendar.
  3. Confirm the import.
The webinar will appear on your Google Calendar.

Apple Mail / Apple Calendar (macOS & iOS)

  1. Click Add to Calendar in the confirmation email.
  2. The .ics file will open automatically in Apple Calendar.
  3. Select Add when prompted.
The event is now saved to your Apple Calendar.

Other calendar apps

Most calendar applications support .ics files.
If prompted:
  • Download the .ics file
  • Open it using your calendar app
  • Confirm adding the event

Common questions

I clicked the link, but nothing happened

  • Check your Downloads folder for the .ics file.
  • Open your calendar app first, then import the file manually using the steps above.

Will the event be updated if the details change?

  • No. The ICS file adds a snapshot of the event.
  • If the webinar details change, we’ll send an updated confirmation email with a new calendar link.

Is this a calendar subscription?

  • No. This adds one webinar event only to your calendar.
